Inventory Administrative Assistant
Department: Distribution
Reports To: Procurement and Distribution Manager
Job Description Summary: The Inventory Administrative Assistant is responsible for the maintenance of the Cellular One phone inventory and related equipment and accessories. Accordingly, this position requires a working knowledge of inventory tracking software. Employees in this class must accept the physical aspects of moving phones and related accessories from one location to another. Persons in this class must possess strong organizational skills.
Major Duties & Responsibilities:
Tracking of phone inventory and related accessories
Accurate and timely data input of purchase orders and sales invoices for retail sales locations
Accurate and timely data input of all inventory related receivables
Customer warranty tracking, repair and replacement
Receive of daily or weekly carrier shipments and confirm contents
Weekly stock evaluation for both store locations and warehouse
Requires proficiency in computer programs (CostGuard, Excel, Word)
Liaise with Customer Service and retail sales locations to ensure adequate phone and accessory inventories at all times
Physical distribution of phone inventory and accessories to the appropriate locations including storage
Performance of in-house monthly inventory reconciliation
Track and distribute marketing supplies for events/special projects
Review and approve collateral orders, track costs
Distribute sales materials as needed to store locations
Knowledge of UPS tracking device and shipments
Tracking and processing employee coupons
Knowledge of HAC reporting requirements both monthly and annually
Provide new handset information to Handset Protection provider
Assist with web sales transactions

Previous inventory related experience
Computer Software/Hardware Skills:
MS Office, MS Outlook, Adobe Acrobat, CostGuard Inventory Administrative Assistant

Level I Requirements: | Demonstrates a good knowledge of distribution procedures. Has 1-3 years of inventory experience. Exhibits good communication and organizational skills. Shows competency with Microsoft Office, Microsoft Outlook, Adobe Acrobat, and CostGuard. |
Level II Requirements: | Demonstrates an exceptional knowledge of distribution procedures and is able to train others on their job requirements. Has 3-5 years of inventory experience. Exhibits excellent communication and organizational skills. Shows and advanced knowledge of Microsoft Office, Microsoft Outlook, Adobe Acrobat, and CostGuard. |
Level III Requirements: | Demonstrates an exceptional knowledge of distribution procedures and is able to train others on their job requirements. Has 5+ years of inventory experience. Exhibits excellent communication and organizational skills. Shows and advanced knowledge of Microsoft Office, Microsoft Outlook, Adobe Acrobat, and CostGuard. Shows management level proficiency in tasking and is capable of fulfilling Distribution Manager’s responsibilities in their absence. |
